How do I make company knowledge searchable?

Company knowledge becomes searchable when all documents are brought together in a knowledge base that searches by meaning instead of by file name. You ask in everyday language, and the answer comes with the passage it was found in, not with a list of possible folders.

Why folder names are not enough

A filing system only works as well as its structure. As soon as several people file things, parallel structures appear: the same file in two folders, different spellings, abbreviations only the author understands. To find something, you need to know the file name, and that is exactly what you do not know if you do not already have the answer.

What a knowledge base does differently

A knowledge base reads the content, not the file name. It links documents that belong together by content, even if they sit in different folders. You search in plain language, “What did we promise this customer in 2023?”, and get the passage the answer comes from.

What goes in first

Not everything at once. The best start is the area where people search most often today and most often come up empty: contracts, technical documents, minutes or quotes. After that the collection grows on its own, because every new question shows the benefit.

Where the benefit shows first

The first effect is not time saved but reliability: answers are suddenly reproducible, no matter who asks. The second effect is security: knowledge stays in the company, even when the person who used to keep it in their head leaves.

Follow-up questions

Does the existing filing system have to be replaced?

No. The knowledge base works on top of the documents you already have. What lives in your systems stays there; it is additionally indexed and made searchable.

Do the documents stay in the company?

Yes. The knowledge base runs on your infrastructure or on dedicated EU servers. Your documents are not sent to outside providers and are not used to train other models.
