How do I extract data from invoices and receipts automatically?

Documents can be read automatically by recognizing their content, turning it into fields and checking it before it goes into the target system. What remains is reviewing the exceptions, not the data entry.

Why retyping costs twice

Manual entry has two costs: once when transferring and once when correcting. Typos often surface late, when totals do not match or an assignment is wrong. Both tie up skilled time for a task that involves no decision.

How the processing works

A document is read, the relevant fields are recognized and checked against the existing master data. If everything matches, it is taken over. If something does not match, an unknown supplier or a different total, the case is passed on instead of guessed.

Where quality is decided

The difference between a useful and a useless solution is not in the recognition, but in how exceptions are handled. A system that books every deviation as a success creates work instead of saving it.

What this means for approval

Critical steps go through an approval. Amounts above a limit, new suppliers or unusual line items are passed on for review. Everything else goes through, logged and traceable.

Follow-up questions

Does accounting have to change anything for this?

No. The captured data is handed over in the form the existing system expects. The interface people work in stays the same.

What happens to poorly readable scans?

They are recognized and passed on for manual review. A document that was read with uncertainty is not taken over silently.
